Personal Assistant required for a permanent part-time role in Dublin Centre. Working 5 days per week you will work four hours per day.

Reporting to the CEO this role will be given a lot of autonomy to exercise your own judgment and discretion in order to optimize the CEO’s time

Position Specification:

  • Perform administrative tasks in a timely manner with close attention to detail including managing email inbox; scheduling and coordinating appointments and meetings. 
  • Make all necessary arrangements (including travel where necessary). 
  • Distribute information accordingly to other internal and external parties and participants as required.
  • Assist in the preparation, collation, and distribution of documentation packages for Board Meetings and various sub-committees (e.g. Audit, Finance, and Technical Claims).
  • Act as a focal point of contact with various stakeholders and external suppliers, including the handling of confidential information to facilitate communication.
  • Organising travel arrangements, booking flights, accommodation, trains and taxis for management team.
  • Maintaining CEO filing system.
  • Assisting with resource mapping, planning and managing leave schedules
  • Assisting with Member, customer and other stakeholder correspondence and administration tasks. 
  • Preparing and tracking CEO expense reports/claims.
  • Manage occasional team offsite meetings, events, seminars and activities. This would include the company AGM.
  • Attend meetings and take/distribute minutes as required.
  • Assisting with other ad-hoc administrative and project requirements as needed.

Candidate Profile:

  • Minimum of 5 years’ experience in an administrative role supporting senior management (Insurance industry experience would be an advantage but is not essential)
  • Discretion and trustworthiness: you will often be party of confidential information
  • Demonstrate business acumen and client service mentality
  • Flexibility and adaptability
  • Excellent oral and written communication skills
  • Organisational skills and the ability to multitask
  • Capacity to be proactive and take the initiative
  • Strong interpersonal skills, including tact and diplomacy
  • Good MS Office skills

Remuneration will be dependent upon individual experience.
